Capacities is a knowledge management application developed by a small Berlin-based team. Unlike traditional note-taking tools that treat everything as a document or page, Capacities organises information as typed objects — notes, books, people, projects, tweets, and more — that are linked together in a knowledge graph. This object-based approach, combined with AI writing assistance, makes it particularly powerful for researchers, consultants, and knowledge workers who need to connect ideas across domains. The AI features in Capacities include inline writing assistance, text summarisation, content generation, and smart suggestions for linking related objects. These AI features are powered by third-party LLMs (primarily OpenAI), which means that content submitted for AI processing does transit to OpenAI's infrastructure. Capacities states that it does not store AI-processed content beyond the session and that it uses OpenAI's zero-data-retention API option for its AI features, mitigating — though not eliminating — data sovereignty concerns around the AI layer. The core note-taking and knowledge graph functionality, however, is stored and synced through Capacities' own EU-based infrastructure (hosted in Germany). User vaults/spaces are stored on German servers, and the company operates under German law with a full GDPR-compliant privacy policy and DPA available on request. For users who need complete data isolation, Capacities does not currently offer a self-hosted option. Pricing includes a free tier with generous limits, and a Pro plan at approximately €9/month (billed annually at €8/month). There are no enterprise or team plans with advanced security controls as of early 2026, which limits its suitability for larger regulated organisations, though it is well-suited for individual professionals and small teams in the EU. For European knowledge workers who want a beautiful, AI-enhanced note-taking experience with EU data residency and a German-incorporated company as their data processor, Capacities is one of the strongest options available — particularly compared to US-based alternatives like Notion AI or Mem AI.
